Overview

This document outlines DP3’s billing structure, payment policies, and terms for managed services. All DP3 clients are billed under the same structure through Stripe, our secure payment platform.

Service rates are listed at standard pricing. Clients enrolled in ACH Autopay receive a 5% discount on recurring managed services charges. This document explains how billing works, accepted payment methods, and the terms that govern your account.

Billing Platform

DP3 standardizes billing across all clients through Stripe, providing a modern, secure, and transparent payment experience. All electronic payment methods (ACH, credit card, wire) are accepted with no additional processing fees. Check payments incur a $20 administrative processing fee due to the operational overhead of manual handling.

Clients enrolled in ACH Autopay receive a 5% discount on recurring managed services charges.

How Billing Works

Invoices are generated on the 1st of each month for that month’s services. Each invoice itemizes which users are billable, providing full transparency into your monthly charges.

The invoice includes all users who are active on the 1st of the month. If users were added or removed during the previous month, the invoice will include prorated adjustments (additional charges or credits) to reflect those changes.

How ACH Autopay Works

Invoices are issued on the 1st of each month with a 7-day review period before any payment is processed.

During the review period, your team may review the invoice in full. You can:

  • Initiate the ACH payment immediately at any time during the review window, or
  • Submit payment manually via another method (wire, credit card, etc.)

A manual payment received during the review period will prevent the automatic debit for that invoice. If no action is taken, ACH Autopay will process automatically at the end of the 7-day window. This ensures a predictable, consistent billing cycle with no gaps or missed payments.

About the 5% Discount

The 5% discount is tied to enrollment, not payment method. As long as your firm is enrolled in ACH Autopay at the time an invoice is generated, the 5% discount applies — even if you choose to pay that invoice manually using a different method during the review period. The discount is calculated at the time of invoicing and does not retroactively apply to invoices issued before enrollment. The discount is exclusive to ACH Autopay enrollment.

Minimum Monthly Fees

Some client agreements include a Minimum Monthly Fees (“MMF”) clause — a contracted floor on the amount paid each month, defined in the Master Services Agreement. The MMF is established at the start of your engagement based on the recurring services in your Quote.

Invoices for clients with an MMF are billed to the greater of (a) your actual monthly charges or (b) the contracted minimum. This ensures the amount paid does not drop below the MMF, regardless of the number of users or devices to which Services are directed or applied during that month.

In months where your charges fall below the MMF, your invoice shows a line labeled “Minimum Monthly Fees (MMF) Adjustment” that brings the total up to your contracted minimum. In months where your charges meet or exceed the MMF, that line does not appear.

How the ACH Autopay discount interacts with the MMF. The rates shown on each line of your invoice are already net of your 5% ACH Autopay discount, so the discount does not appear as a separate line in the totals — your subtotal reflects it. Because the MMF is a floor on the amount paid, the discount cannot reduce your total below it. In a month where the MMF applies, your total due is the contracted minimum.

A worked example: if your services bill at $3,800 and your MMF is $4,500, your invoice shows a Subtotal of $3,800, a Minimum Monthly Fees (MMF) Adjustment of +$700, and a Total Due of $4,500. Any check processing fee or prior-period adjustment is applied before the minimum is enforced. If account credits are applied to your invoice, the final line reads “Balance Due” and reflects those credits.

ACH Autopay provides the most favorable pricing and simplifies the billing process through automated monthly payments. Check payments require manual processing and are inconsistent with DP3’s paperless, remote-first operating model.

Non-Recurring Invoices

The 5% ACH Autopay discount applies specifically to recurring managed services charges. Non-recurring invoices — such as project work, hardware, consulting, or other one-time services — are billed at the quoted or agreed-upon rate and are not subject to the ACH Autopay discount.

The accepted payment methods listed above apply to all invoices. The $20 check processing fee applies to any invoice paid by check, whether recurring or non-recurring.

Frequently Asked Questions

How can we receive the most favorable pricing?

Enroll in ACH Autopay. Clients enrolled in ACH Autopay receive a 5% discount on recurring managed services charges. The discount is tied to enrollment, not the payment method used on any individual invoice. Even if you pay a specific invoice manually during the review period, the discount still applies as long as you are enrolled.

Are there fees for paying by credit card or wire?

No. DP3 does not charge processing fees for credit card or wire payments. However, only clients enrolled in ACH Autopay receive the 5% discount.

Can I earn credit card rewards by paying with a credit card?

DP3 accepts credit card payments at no additional charge. Whether you earn rewards on those payments depends on your credit card issuer and your card’s rewards structure. We recommend checking with your card issuer for details.

Why is there a fee for check payments?

Check payments require manual processing and are inconsistent with DP3’s paperless, remote-first operating model. A $20 administrative processing fee applies to each check payment and will be added to the next invoice issued by DP3.

Does DP3 store my bank account or credit card information?

No. DP3 does not store or have access to your bank account or credit card information. All payment data is handled entirely by Stripe, which is PCI Level 1 certified — the highest level of security certification in the payments industry. You can review Stripe’s data handling policies at stripe.com/privacy.

Is it safe to enter my payment information through Stripe?

Yes. Stripe processes payments for millions of businesses worldwide and maintains the highest security standards in the industry. Your financial data is encrypted and stored exclusively within Stripe’s infrastructure — DP3 never sees or retains it.

Does the ACH Autopay discount apply to project work or other non-recurring invoices?

No. The 5% ACH Autopay discount applies only to recurring managed services charges. Non-recurring invoices — such as project work, hardware, or consulting — are billed at the quoted rate. However, the accepted payment methods and the $20 check processing fee apply to all invoices regardless of type.

My invoice shows a “Minimum Monthly Fees (MMF) Adjustment” line — why?

Your service agreement sets a Minimum Monthly Fees (“MMF”) amount — a contracted floor on what your firm pays each month, independent of user or device counts. In months where your charges fall below that floor, your invoice includes a “Minimum Monthly Fees (MMF) Adjustment” line that brings the total up to your contracted minimum, so your total due equals the MMF in your MSA.

The rates on your invoice are already net of your 5% ACH Autopay discount, so there is no separate discount line. Because the MMF is a floor, the discount cannot reduce your total below it.
